Log in to Vagaro Business Portal

Navigate to vagaro.com in your browser. Click "Log In" in the top-right corner of the homepage, or go directly to vagaro.com/pro. Enter your business owner or manager email and password. You will land on your business dashboard showing today's appointments.

💡

If you manage multiple locations under one Vagaro account, make sure you are viewing the correct location — check the location name shown in the top navigation bar.

Click "Clients" in the Top Navigation

In the dark horizontal navigation bar at the top of the screen, click "Clients". This takes you to your full client database. The page shows a table with client names, contact info, and last visit dates.

Ensure "All Clients" View is Active

On the Clients page, check the filter row above the client table. You may see filter buttons or a dropdown showing "Active Clients". Click it and change to "All Clients" to include both active and inactive clients in the export. The table will refresh.

💡

Do not filter to just "Active" — the full list is more useful for MedMasters to segment campaigns.

Click "Export CSV"

Look in the top-right area of the Clients page for a button labeled "Export CSV" or showing a download icon. Click it. For small client lists (under ~5,000), the file will download to your browser immediately. For large lists, Vagaro will show a message saying the export will be emailed to you.

Retrieve Large Export from Email (If Applicable)

If Vagaro displays a message like "Your export is being processed and will be emailed to you", check the email inbox associated with your Vagaro business account. You will receive an email from Vagaro within 5–10 minutes with a download link. Click the link to download the CSV.

⚠️

The email download link expires after 24–48 hours. Download the file as soon as you receive the email.

💡

Check your spam/junk folder if the email does not arrive within 10 minutes. The sender is typically no-reply@vagaro.com.

Verify and Send File

Open the downloaded CSV in Excel or Google Sheets. Confirm row 1 has column headers (First Name, Last Name, Phone, Email, Last Visit, etc.). Then send the file to MedMasters using the secure upload link provided by your account manager.

Never email the CSV file directly. Use only the secure upload link from MedMasters.
