Log in to PatientNow Web Portal
Open Chrome or Edge and navigate to your PatientNow portal URL (typically yourpracticename.patientnow.com or the URL your practice was given during onboarding). Enter your administrator username and password. You must use an Admin-level account — standard provider accounts may not have export access.
PatientNow is fully web-based — no software installation required. If you forgot your portal URL, check the welcome email from PatientNow onboarding or contact their support at 1-866-726-0101.
Click "Reports" in the Top Navigation
After logging in, you will see a horizontal navigation bar at the top of the screen. Click "Reports" — it typically appears between "Scheduling" and "Settings" in the nav. A dropdown or sub-page will appear showing report categories.
Select "Patient List" Report
In the Reports section, look for "Patient Reports" or a "Patient" category on the left side. Click it, then select "Patient List" or "Patient Demographics Report" from the list of available reports. This report contains all contact fields needed for the MedMasters import.
Configure Status Filter and Date Range
The Patient List report opens with filter options at the top. Configure them as follows: Status = "All" (this includes both active and inactive patients). Date Range = leave blank or set to "All Time". Provider = "All Providers". Click "Run Report" or "Apply Filters".
Do not filter by "Active" only — sending the full list including inactive patients gives MedMasters the complete picture for reactivation campaigns.
Export as CSV
Once the report results load, find the "Export" or "Download" button in the report toolbar — it is usually in the top-right of the results area and may show a spreadsheet or download icon. Click it and select "CSV" or "Export to CSV". The file will download immediately to your Downloads folder.
Verify the Download
Open the downloaded file in Excel or Google Sheets to confirm it has column headers on row 1 and that the Mobile, Email, and Last Appt Date columns have data. Then send to MedMasters using the secure upload link provided.
Never email the CSV file directly. Use the secure upload link provided by your MedMasters account manager.
