Log in with Manager or Owner Credentials
Go to mindbodyonline.com and click "Log In" in the top-right corner. Sign in with a Manager or Owner account ā standard staff accounts do not have access to client exports. After logging in, you will see the Mindbody business dashboard showing upcoming appointments and revenue metrics.
You must have Manager or Owner role to export client data. Staff member accounts will not see the Export option. Ask your practice owner to log in or to upgrade your role.
Mindbody also has a mobile app, but exports are only available in the web dashboard at mindbodyonline.com ā not in the app.
Navigate to Clients
In the top navigation bar (dark bar at the top of the screen), click "Clients". This takes you to the Clients section with sub-navigation options for Client List, Membership, and Client Documents.
Open "Client List"
Under the Clients section, click "Client List" in the sub-navigation. This shows a searchable, filterable table of all your clients. By default it may show only active clients ā you will adjust this in the next step.
Remove Status Filters ā Include All Clients
Above the client table, look for filter options. If a "Status: Active" filter chip is shown, click the X to remove it and show all clients. Alternatively, click the Filter button and change Status to "All". Confirm the total client count updates to include your full database.
It's fine to export all clients. MedMasters will handle active/inactive segmentation using the Last Visit Date column.
Click "Export" ā "Export to CSV"
In the top area of the Client List, click the "Export" button (look for a button with a downward arrow or spreadsheet icon). A small dropdown will appear ā select "Export to CSV". For large databases (5,000+ clients), Mindbody may take 1ā3 minutes to generate the file. Wait for the download to appear in your browser.
Large client lists (10,000+) may time out. If the export fails, try filtering by last name range (AāM, then NāZ) and combine the two files before sending to MedMasters.
Verify Phone Columns in the Export
Open the downloaded CSV in Excel. Mindbody exports multiple phone columns: "Home Phone", "Mobile Alt", and "Work Phone". For MedMasters campaigns, the "Mobile Alt" column is typically the cell/mobile number. In the email to MedMasters, note which column is the mobile number.
Do not delete phone columns before sending ā let MedMasters identify the best contact number from all available columns.
Mindbody's naming is confusing ā "Mobile Alt" is often the primary cell number. Include all phone columns in the file you send so MedMasters can identify the best number.
